Are You Prepared for an Emergency?

Every company's management team faces the challenge of having too many things going on with not enough time in the day. It's difficult to get everything done, so when push comes to shove, particular projects and issues need to be prioritized to be completed. What do we have to do today that can't be put off to tomorrow? Often, a businesses fall into a reactionary rut where they are constantly "putting out the fires" first, and while it's vital for a business to put out those fires (literal or metaphorical), that approach makes it difficult to proactively prepare for those kinds of issues to streamline the process of resolving them. Secure Quorum was created to provide a simple, secure medium to deal with emergencies and incidents.

What we noticed was that businesses didn't often consider planning for emergencies as part of their operations. The emergencies I'm talking about thankfully don't happen often, but fires, accidents, power outages, workplace violence and denial of service attacks can severely impact the bottom line if they aren't addressed quickly ... They can make or break you. Are you prepared?

Every second that we fail to make informed and logical decisions during an emergency is time lost in taking action. Take these facts for a little perspective:

  • "Property destruction and business disruption due to disasters now rival warfare in terms of loss." (University Corporation for Atmospheric Research)
  • More than 10,000 severe thunderstorms, 2,500 floods, 1,000 tornadoes and 10 hurricanes affect the United States each year. On average, 500 people die yearly because of severe weather and floods. (National Weather News 2005)
  • The cost of natural disasters is rising. During the past two decades, natural disaster damage costs have exceeded the $500 billion mark. Only 17 percent of that figure was covered by insurance. (Dennis S. Mileti, Disasters by Design)
  • Losses as a result of global disasters continue to increase on average every year, with an estimated $360 billion USD lost in 2011. (Centre for Research in the Epidemiology of Disasters)
  • Natural disasters, power outages, IT failures and human error are common causes of disruptions to internal and external communications. They "can cause downtime and have a significant negative impact on employee productivity, customer retention, and the confidence of vendors, partners, and customers." (Debra Chin, Palmer Research, May 2011)

These kinds of "emergencies" are not going away, but because specific emergencies are difficult (if not impossible) to predict, it's not obvious how to deal with them. How do we reduce risk for our employees, vendors, customers and our business? The two best answers to that question are to have a business continuity plan (BCP) and to have a way to communicate and collaborate in the midst of an emergency.

Start with a BCP. A BCP is a strategic plan to help identify and mitigate risk. Investopedia gives a great explanation:

The creation of a strategy through the recognition of threats and risks facing a company, with an eye to ensure that personnel and assets are protected and able to function in the event of a disaster. Business continuity planning (BCP) involves defining potential risks, determining how those risks will affect operations, implementing safeguards and procedures designed to mitigate those risks, testing those procedures to ensure that they work, and periodically reviewing the process to make sure that it is up to date.

Make sure you understand the basics of a BCP, and look for cues from organizations like FEMA for examples of how to approach emergency situations: http://www.ready.gov/business-continuity-planning-suite.

Once you have a basic BCP in place, it's important to be able to execute it when necessary ... That's where an emergency communication and collaboration solution comes into play. You need to streamline how you communicate when an emergency occurs, and if you're relying on a manual process like a phone tree to spread the word and contact key stakeholders in the midst of an incident, you're wasting time that could better be spent focusing to the issue at hand. An emergency communication solution automates that process quickly and logically.

When you create a BCP, you consider which people in your organization are key to responding to specific types of emergencies, and if anything ever happens, you want to get all of those people together. An emergency communication system will collect the relevant information, send it to the relevant people in your organization and seamlessly bridge them into a secured conference call. What would take minutes to complete now takes seconds, and when it comes to responding to these kinds of issues, seconds count. With everyone on a secure call, decisions can be made quickly and recorded to inform employees and stakeholders of what occurred and what the next steps are.

Plan for emergencies and hope that you never have to use that plan. Think about preparing for emergencies strategically, and it could make all the difference in the world. My Road to LPIC-1 Certification

I've been a Linux user for many years, but for various reasons I never bothered to get a certification even though it's a fantastic validation of Linux skills. When I moved up in the world by joining SoftLayer, my attitude quickly changed.

As a new Systems Administrator at SoftLayer, one of the first challenges I was presented with was to try for my LPIC-1 certification. True to SoftLayer's motto of "Challenging, but not Overwhelming," I was given 3 months, a practice environment and reimbursement for my fees if I passed the tests. With an offer like that, it was impossible to refuse.

The LPIC-1 tests are not easy, and it took a lot of work to pass them, but if you're interested all you need to succeed is a solid background in Linux and the time to dedicate to preparation. Here are some of the things I learned along the way:

  1. Don't attempt the LPIC-1 exam unless you have at least a couple of years' worth of hands-on Linux experience. Seriously, it's not for newbies.
  2. Acquire at least two test-prep books, and read one of them every day. I used O'Reilly's LPIC-1 Certification in a Nutshell and LPIC-1 In Depth by Michael Jang. Both are easy to read, have good explanations of concepts you need to understand, and provide valuable tips in addition to practice exams.
  3. Set up a practice environment. It's essential for reviewing commands you may not be familiar with.
  4. When you think you are ready for the first exam, take a few free practice tests online. There are a number of them available.
  5. I didn't buy any test-prep software, but I did download a couple of trial versions as they offered some free practice questions.
  6. Take all of the practice exams available to you several times each. You'll get more comfortable with the format of the test questions and will also learn which areas you need to revisit before the actual test.

After earning the LPIC-1 certification I received a nice surprise in my mailbox along with my certificate. Apparently Novell and the Linux Professional Institute have a partnership: By earning the LPIC-1 I had also satisfied the requirements for Novell's Certified Linux Administrator (CLA) certification, so now I can enjoy the benefits of having two IT certifications for the price of one and I have SoftLayer to thank for it!

How Scalable Are You?

The Northeastern part of the United States saw two natural disasters within the span of five days of each other. The first was in the Washington, D.C. area: A 5.8 earthquake on August 23, 2011. On August 28, Hurricane Irene made her way up the east coast, leaving nearly 5.5 million people without power. We do everything we can to prepare our facilities for natural disasters (generator power backup, staffing, redundant bandwidth links and providers, etc.), and given the recent events, now might be a good time to start thinking about how your servers respond when something out of the ordinary happens ... Let's look at two relatively easy ways you can set your business up to scale and recover.

The first option you may consider would be to set up a multi-tiered environment by deploying multiple servers in various geographical locations. Your servers in each location could be accessed via load balancing or round robin DNS. In this kind of high-availability environment, your servers could handle the incoming requests more quickly with the load being split amongst the multiple data centers. The failover would be just a few seconds should you lose connectivity to one of the locations.

The second option to consider would be the private image repository for our CloudLayer Computing. This options allows you to save a private image template in different data centers, each ready for quick deployment without having to install and configure the same operating system and applications. Should you need additional resources or lose connectivity to your instance in one facility, you can deploy the saved image in another facility. The failover time would be only in the provisioning process of the Computer Instance ... which doesn't take too long.

Scalability makes sense no matter what situation you may be facing – from natural disaster to hitting the front page of Reddit. The Tao of the Slayer

In the ever-changing world of IT, there are few times when a technician gets to relax. There are always new issues, new products/services, and long hours of investigation. However, once in awhile you find a moment of Zen in all the commotion: Rack Prep.

Recently, I had assigned myself to Rack Prep to allow my teammates to focus on their other duties. During this time, I was able to complete a large portion of the rack assembly process and release myself from the direct stresses of the IT environment in a busy NOC (network operations center).

The preparation of new racks in the datacenter is an arduous (and sometimes monotonous) task, but gives a technician time to reflect on his accomplishments and direction for his career. There are no distractions, other than the occasional dropped cage nut or screw. This allows the free mind to ponder the inner workings of itself and the body it inhabits.

I thought about the first time I had installed a rack rail. I had only been working in IT for a few months and was assigned to the task due to my lack of knowledge on the other portions of the project. I learned a lot that summer about architecture of hardware, networks, and even business.

I had time to think about how I had arrived at one of the fastest-growing host providers in the world. All the different places I had worked. I remembered the people who shared information – technical or otherwise – which had furthered my ability to solve issues – in servers and myself.

I remembered the managers and supervisors that I looked up to and hope to emulate in my current position in management. I was trying to remember all the wisdom which had been passed to me, leading me to reevaluate my approach and initiatives.

In short, the Rack Prep allowed me to reflect on all the things in my life. I was able to forget the current project while mindlessly pushing in cage nuts and look at my career from a wider perspective. Luckily, I can say that I am proud of how far I have come. Now, I have to install the cables which require much more thought. I better leave the Zen and continue with the task at hand.
